What information we collect

When you contact or book Freedom Portraits, we may collect information including:

  • Your name

  • Email address

  • Telephone number, if supplied

  • Details relating to your enquiry or booking

  • Photographs supplied by you or taken as part of your portrait session

  • Information necessary to process payments, orders and print deliveries

  • Correspondence between you and Freedom Portraits

We only collect information that is reasonably necessary to deal with your enquiry and provide our services.

How we use your information

Your information may be used to:

  • Respond to enquiries

  • Arrange and manage portrait sessions

  • Create your Freedom Portrait artwork

  • Contact you about your booking or order

  • Produce and deliver prints or other products you have ordered

  • Maintain appropriate business and accounting records

Our lawful basis will normally be that the processing is necessary to take steps at your request before entering into a contract, to fulfil our contract with you, to comply with a legal obligation, or because we have a legitimate business interest in responding to enquiries and operating Freedom Portraits.

Photographs and AI image processing

Freedom Portraits creates imaginative photographic artwork using photography, digital editing and, where appropriate, artificial intelligence and other image-processing tools.

To produce your finished artwork, photographs may therefore be processed using specialist third-party software or online image-processing services.

We only use your photographs for the purpose of producing and supplying the service you have requested unless you have separately given permission for another use.

Where external service providers are used, we take reasonable steps to use reputable suppliers and limit the information provided to what is required to perform the service.

Website, portfolio and social media use

Your identifiable photographs will not be used on the Freedom Portraits website, in advertising, on social media or for promotional purposes without your permission.

If you give permission and later change your mind, you can contact us and ask us to stop using the image for future promotional purposes.

This will not necessarily affect material that has already been printed, published or distributed before permission was withdrawn.

Who we may share information with

We do not sell your personal information.

Where necessary to provide our services, information may be processed by trusted service providers such as:

  • Website and email providers

  • Cloud storage providers

  • Professional printing laboratories

  • Payment-processing providers

  • Image-editing and AI image-processing providers

  • Delivery or postal services

Information will only be shared where reasonably necessary to provide the service, operate the business, or meet a legal obligation.

If a service provider processes personal information outside the UK, we will only use that provider where the transfer is permitted under applicable data-protection law.

How long we keep your information

We do not keep personal information for longer than reasonably necessary.

Enquiry information that does not result in a booking will be deleted when it is no longer required.

Booking, payment and transaction information may be retained where necessary for accounting, taxation or other legal requirements.

Photographs and finished artwork may be retained for a reasonable period so that we can complete your order, deal with queries and, where appropriate, provide replacement prints or additional copies.

You may ask us to delete photographs or other personal information where you have a legal right to do so.

Keeping your information secure

Reasonable technical and organisational measures are used to protect personal information against unauthorised access, loss, misuse or disclosure.

Access to customer information and photographs is restricted to those who need it in order to provide the Freedom Portraits service.

Your data-protection rights

Depending upon the circumstances, you may have rights including the right to:

  • Ask what personal information we hold about you

  • Ask for inaccurate information to be corrected

  • Ask for your information to be deleted

  • Ask us to restrict the way your information is used

  • Object to certain uses of your information

  • Ask for certain information to be transferred

  • Withdraw consent where we rely upon consent

Complaints

If you have any concerns about how Freedom Portraits handles your personal information, please contact us first so that we have an opportunity to resolve the matter.
